Uploading Your PowerPoint Presentation

A new and much improved procedure has been adopted for managing speakers’ PowerPoint© presentation for the 51st Annual Meeting. Each session room will be equipped with a laptop computer and an LCD projector This equipment will be provided and installed by INMM professional audiovisual (AV) technicians. Speakers cannot use their own laptop computers instead of the ones set up for that session. Read the Speakers’ Manual before you make your slides. If you don’t, you may find that you have to redo your work. Why waste your own time?
Before the Annual Meeting:
Save your files to a USB drive or CD.
If you create a CD make sure you close or finalize your session. If this step is not accomplished you cannot access the disk from any computer.
At the Annual Meeting:
You must upload your presentation onto the computer.
A Speakers Ready Room has been designated for this process and will be staffed by the INMM professional audiovisual (AV) personnel. Several laptops will be available in the Ready Room for speakers to input their presentations.
Bring your CD, DVD or memory stick to the AV technician in the Speakers Ready Room at least the day before your session begins. See the Speakers Manual for the schedule.If you have truly extenuating circumstances, notify Jodi Metzgar before the Annual Meeting. Your presentation will be uploaded in the Speakers Ready Room so you can access it from the podium in your session room.
See the Speakers Manual to familiarize yourself with this process in to make it easier for you and quicker for your colleagues waiting to load their presentation. The AV staff will assure that the projection system is in operating condition for each session.
Over 500 papers are scheduled for this meeting and a great many scheduled for each day, so you MUST visit the Speakers Ready Room well in advance of your presentation to ensure you will be able to access your files during your presentation.
If you visit the Speakers Ready Room to upload five minutes before your presentation – you will be disappointed! There will not be time for you to get everything completed. The Speakers Ready Room technician will review your presentation with you to ensure that everything runs as you expect. If your USB drive or CD or DVD has been loaded properly (see detailed specifications below), it takes about 5-10 minutes to complete the loading process. Notes for Speakers

Every year after the INMM Annual Meeting, we survey our meeting attendees to find out what we’re doing well and what we can improve. Overall, attendees are pleased with the meeting, I’m happy to report. But a couple of critical areas that we need continuous improvement on are that speakers must stay on time and session chairs have to keep the order of presentations the same.
Speakers must stay on time. Session chairs cannot change order of presentations. Each paper is scheduled for a specific slot and each slot is 20 minutes long. The schedule is published in the meeting program AND on the INMM Web site and in the online itinerary builder so that attendees can be in the right places at the right times. But when speakers go over their allotted 20 minutes, they throw the schedule off, making attendees late for the other paper they want to see in that session. It's discourteous to your colleagues, it disrupts the carefully scheduled program, and it demeans your own presentation. Just as disasterous is when session chairs change the order of presentations. If a speaker has withdrawn, session chairs should use the time for questions or discussions of the topics presented. Poster Presentations

Poster Presentations can be a hit at the Annual Meeting this year — and in future years, too! Here’s why you should consider presenting posters and how you can do that successfully. To help you, we have improved the guidelines for poster presentations this year to provide more detail. Some descriptive photos are shown of just what a true poster should look like. For INMM posters carry the same value as oral presentations and require a written paper for publication in the Proceedings of the INMM Annual Meeting.
Attendees tell us that in several instances 20 minutes for an oral presentation are not be enough to get the message across – additional details are usually achieved by “hall talk” with the author or waiting for the paper to be published in the Proceedings months later. So here’s an opportunity to make your presentation with unlimited time constraints and personal face-to-face discussions with really interested colleagues.
Actually, presenting a proper poster requires a bit more effort than an oral presentation but has many advantages. Try it, you just might love it. Questions? Write me at technicalprogramchair@inmm.org.
Completing Your Paper

Spring is here and July 11, the beginning of the 51st INMM Annual Meeting, will be upon us before we know. So, this might be the right time to complete your paper and submit it before the June 9 deadline. (Note I said “complete” – not “start”!) Six weeks is not a long time to finish a paper, send it for management and security approvals, and then submit it to INMM. Many authors have confided to me that a major obstacle to submitting a paper to INMM is the approval process. So, do it now! It won’t get any better with time.
Did you ever wake up in a panic at 2 a.m. in the morning with a thought that you left something out of your abstract or need to modify your submittal (you really need to change that title!)? Well, another important date to remember is May 22 – any changes in your presentation need to be made by that date or the existing information will be included in the Final Program. And if you just got that long-awaited assignment to Vienna and won’t be available for the Annual Meeting you need to let INMM know (jmetzgar@inmm.org) as soon as possible but certainly before May 22 – otherwise ….!

By now speakers and poster presenters will have received their acceptance letters for their presentations at the Annual Meeting. Please let Jodi Metzgar (jmetzgar@inmm.org) know if you have any questions or concerns. Remember now is an excellent time for all meeting attendees to register for the meeting and book their hotel accommodations. (Important, if, at a later date, you need to cancel these reservations, please do as soon as possible so that other attendees may take advantage of the vacancy.)
Good news for meeting participants! Look for the 2010 updated editions of the guidelines for a successful 51st INMM Annual Meeting to be published soon: Speakers Manual, Poster Presenters Manual, and Session Chair Manual will be sent to speakers, poster presenters, and session chairs, as appropriate. (We also have a Student Guide.)
The Speakers Manual has been updated extensively to include the new PowerPoint© presentation uploading process using a wireless network system managed by the INMM professional audiovisual staff . This new process should eliminate the occasional problems some speakers have had in uploading and projecting presentations properly in the session rooms. It is recommended reading for all. We’ll provide more information about presentations as we approach the meeting date.
However, regardless of all the helpful information in our guides and manuals, if we don’t read and understand them thoroughly, their benefits won’t be realized. Many times meeting participants are surprised to find that the answers to some of their critical questions already have been addressed in these documents. So please take the time to scrutinize this information thoroughly – then, if you have any questions, write me (technicalprogramchair@inmm.org).
Record Number of Abstracts Submitted for 2010 Meeting

We’re very excited about the record number of abstracts we received for the 51st INMM Annual Meeting – 542 abstracts so far. Last year’s total submission of 467 abstracts was also a record and attendance at the meeting set a record with 1,050 attendees. This year’s meeting is looking like it might set a new mark for attendees. You definitely want to be at this meeting! Register online now!
The Technical Program Committee will meet on March 2 in Seattle, Washington, USA, to review all those abstracts and develop the annual meeting program. We do this the old-fashioned way – we meet face-to-face and sit down to talk about the abstracts. It’s a lot of work for everyone involved and we’re very grateful for their participation. The technical division chairs play a lead role in this process negotiating multiple sponsorship of sessions especially when the subject matter can’t be defined to one division alone. To put it mildly, some of the discussions can be quite lively at times. But it helps us develop a strong program that reflects the depth and breadth of the nuclear materials management field.
As in the past few years, the organizers of special topical sessions also have been invited to the review meeting to provide any information about their sessions that are needed by the Technical Program Committee. This year we have 24 special sessions, compared to 17 last year.
All final papers must be submitted by June 9, 2010, so they can be published in the Annual Meeting Proceedings.

Only Two Days Left -- Don't let this opportunity pass you by
This is your last chance to submit an abstract for the 51st Annual Meeting of the Institute of Nuclear Materials Management before the Feb. 1 deadline.
Read the Call for Papers now to learn more about the 2010 Call for Papers and instructions for submitting your abstract online. We already have several topical sessions set up and if your paper is not submitted on time there may not be sufficient space in the program for you.

Submit Your Abstract by Feb. 1

Do it, do it now! Time is growing very short. You have only 16 days left to submit an abstract for the 51st Annual Meeting of the Institute of Nuclear Materials Management.
It's like playing the lottery -- you can't win if you don't buy a ticket. But with the INMM Annual Meeting it's not a gamble! If you submit a qualified abstract early enough you'll be guaranteed a slot in the program for the presentation of your paper. We already have several topical sessions set up.
The 51st Annual Meeting will be another one to remember and enjoy! If you liked the anniversary meetings we had for the past two years, you'll just love our annual meeting this year in Baltimore.
Don't forget: Posters and Demonstrations are highly endorsed, too. And student papers and participation are especially encouraged.

Abstract Submittal Deadline- February 1, 2010

REMINDER: Proposed SPECIAL SESSIONS for the Annual Meeting should be submitted to me by November 15, 2009.
Abstract Submittal: If you are planning to present a paper at the INMM 51st Annual Meeting, we urge you to prepare your abstract now and submit it by Feb. 1, 2009, for review by the Technical Program Committee. As general guidance only, INMM provides a list of suggested topics for presentation in the Call for Papers but invites you to submit for consideration any abstract related to the management of nuclear materials. Please be aware that if the response to the Call for Papers in 2010 is as great as it was for the 50th Annual Meeting and because of additional program activities, there may not be as many opportunities to present papers as in previous years. Do it now!
Posters & Demonstrations: In addition, this year we are especially interested in presenting non-commercial instrumentation and equipment displays evolving from your research programs in the Posters & Demonstrations Session. Please be sure your posters are true posters and not just pages of text mounted on the poster board. Look for the newly enhanced guidelines to preparing spectacular posters in the Speakers Manual and the Poster Presenters Manual.
Student Papers: And, of course, student papers are always welcome. Please tell your colleagues as well as submitting your own contributions.
Remember: Only 12 weeks remain until the Feb. 1, 2010 abstract submission deadline! Get those abstracts prepared before the holiday season.

ABSTRACTS: The Call for Papers has all the information and guidance you need to present a paper. We encourage you to begin serious preparations now to submit an abstract for review by the Technical Program Committee. The abstract submission deadline is Feb. 1, 2009.
Most importantly -- if you do plan to present a paper you are obligated to submit to INMM a final written paper by June 9, 2009 for publication of the Proceedings.
SPECIAL SESSIONS: Most technical sessions are organized by the Technical Program Committee into the areas of INMM's six Technical Divisions. If you are interested in sponsoring or organizing a special session at the meeting, it is critical that you contact me by e-mail (technicalprogramchair@inmm.org) by Nov. 15th.
STUDENTS: We encourage participation of students in all INMM activities but especially at this time in the submittal of abstracts for the presentation of papers at the Annual Meeting. Click here for information on the J.D. Williams Student Paper Award.
